Privacy Policy, Health and Safety

I hold professional and public indemnity insurance.

If I am unwell, suffering from a cold or virus, infection or general ill health, I will have to cancel with you due to the risks of cross contamination.  I will notify you as soon as possible if this happens.

Please don't attend your treatment if you are unwell, suffering from a cold or virus, infection or general ill health.  Please contact me via email at info@olivebranchretreat.co.uk  when you have recovered to rearrange your appointment.

All personal belongings are left at the owners risk.  Olive Branch Retreat will not be held responsible for the loss or damage to personal items during your time at the retreat.

Clients under the age of 18 years must be accompanied by a parent or guardian.  The parent or guardian must give permission for the treatment to be carried out and will be requested to co-sign the New Client Consultation Form.  They will be invited to stay in the room for the duration of the appointment and will be expected to remain present throughout the treatment.

Payment

You can pay online or if preferred, in person with cash or card.

We never store your credit card details - it is always processed by the third party card processor.  It is encrypted through the Payment Card Industry Security Standard (PCI-DSS.)

Personal data, Lawful basis & what we do with it

The purpose of processing client data is in order to provide you with the best possible treatment options, support and advice.

The lawful basis, under which we hold and use for information, are for our own legitimate interests:

- To provide you with the best possible treatment options and advice, as well as deliver the best service we can for our products.

​

- The Voluntary Regulatory Body require us to retain client records for 8 years only.

​

-  As we hold special category data (i.e. health related information) the Additional Condition under which we hold and use this information is for us to fulfil our role as a health care practitioner bound under our professional bodies.

In order to give professional complementary therapy treatments, we will need to ask for and keep information about your health.  We will only use this for informing treatments, clinic news and any advice we give as a result of your treatment.

- Your contact details.

- Medical history and any other health related information.

- Treatment details and related notes. 

- To keep you updated on clinic news and send you wellbeing or rehabilitation information that may be of interest to you.

WE DO NOT SHARE YOUR PERSONAL DATA OR CLINIC RECORDS WITH ANY OTHER BODY.

Protecting your personal data

We are committed to ensuring your personal data is secure.  In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and managerial procedures to safeguard and secure any information you provide.

We will only contact you using the contact preferences you have provided.

The Olive Branch Retreats Rights

Please note:

- If you don't agree to The Olive Branch Retreat keeping records of information about you and your treatments, or if you don't allow them to use the information in the way they need to for treatments, we may not be able to treat you.

 

- Our therapist must keep records of your treatment for a certain period as described above, which may mean that, even if you request any details to be erased they may have to keep them on your file until the desired time of 8 years has lapsed.
